The Lower Windrush Garden Club is administered by a club president and a vice president and a committee elected by the members.
The Committee has a chair person, secretary, treasurer and a show secretary.  Other committee members take other duties of publicity, membership and help look after the general running of club meetings and outings.
Our Annual General Meeting is held every year in September.  This is a public meeting and can be attended by anyone interested.

LOWER WINDRUSH GARDEN CLUB.
The Minutes of the 42nd AGM held by Zoom on 22 September 2020 have been ratified by Members.

The Draft Minutes of the 23rd AGM held in the Standlake Village hall on the 28th September 2021 are below:

Eva Rogers (President) welcomed everyone to this, the 43rd AGM of the Garden Club. She congratulated Paula and Emma for all their efforts to keep the club going so successfully during such a difficult year. Warm appreciation was expressed by all. 

Copies of last year’s minutes had been sent out by e-mail. These were agreed as a true representation of the meeting.


Matters arising not on the agenda
Paula Gaffney reminded members that according to our constitution, we need a quorum of 25% of our membership to be present in order to hold a valid AGM.
Currently our membership stands at 41 members so our 25% quorum of 11 members was easily achieved, with 22 members present.

Chairperson’s report
• This year’s AGM was different to last year’s, which was held remotely via Zoom, and it was great to see everyone face to face.
• Paula thanked the Committee, President & Vice President for all their help, support & enthusiasm without which the club would not survive. It was very much a team effort and everyone had worked really hard to keep the club up and running.
• Despite the covid restrictions but with the help of online Zoom meetings we had a fairly full programme of speakers and events. We even managed to squeeze in a local visit to Buscot Park in July. Our membership actually increased slightly but it was hard to say if this was the effect of a reduced membership fee or people preferring to use Zoom!
• Paula hoped that our members enjoyed their year with the LWGC and that everyone had found something of interest from our speakers and events.


Treasurer’s report
A copy of the audited accounts was provided to members present at the meeting and a copy will be sent out with the minutes. The Treasurer reported that:-
· This year’s successful plant sale had made a very healthy contribution to the club funds
· A sum remains in the accounts for funding one-off events
· Costs had been much reduced during the year because of the exceptional circumstances of the pandemic. The inability to hold face-to-face meetings
meant there had been no costs for the hire of the village hall, and no speakers’ expenses. However, overall costs are expected to continue
increasing
· A proposal would be put to the meeting to increase in the annual subscription


Events Secretary’s report
• Even with Covid restrictions we had managed to keep our programme of events running throughout the year using Zoom online meeting tool to good effect.
• We swapped our usual Christmas dinner for a Christmas Quiz via Zoom which hopefully was enjoyable
• In some ways Zoom actually made the Events Secretary’s job easier; potential speakers could be situated anywhere in the country and we were not restricted to
travel time limitations. That meant there was a much larger speaker resource to choose from.
• We had a range of speakers from all over the country talking to us about: Plant Hunters, Topiary, Permaculture, Spring bulbs, Gardening with Climate Change and
more locally about the Eynsham Nature Recovery Network.
• Although we did not have our usual summer outing to somewhere further afield we did manage a quick local visit to Buscot Park on a lovely warm sunny afternoon in July.
• Hopefully everyone enjoyed the range of speakers and found something of interest.


Show Secretary’s report
In 2021 we had a Summer Show and Annual Show. There was no Spring Show this year in the usual way, but a ‘virtual’ spring bulb show was held with people showing and talking about their bulbs.
Emma reported that the Annual Show had 267 entries from 27 different exhibitors.
This was an excellent entry considering the pandemic and the strange weather we have had. She thanked the judges.
Emma reminded the meeting that we do welcome exhibits from anyone living in any of the parish villages and that has always been written into the club rules.
There were no entries into the junior sections of the show this year – so we would rethink it for next year.


Election of new committee
• As required by our constitution all members of the committee were now required to
stand down. The President & Vice President would remain.
• Lin Burton, Emma Welch, Linda Watson, Gillian Tarran, Jane Everex & Paula Gaffney
had kindly volunteered to stand again.
• As detailed in our constitution a quorum of 25% of our membership was needed in
order to take a vote on a proposal; and it was proposed that all those volunteering to
stand again be re- elected. This proposal was agreed.
• If anyone else would like to join the committee Paula extended an invitation to talk
to any of the committee members.
• The committee would hold a meeting a.s.a.p. to allocate specific committee jobs.


Annual subscription 2021/22
It was proposed that the annual subscription be increased to £20 per year per person. This was agreed.


Any other business
Eva R suggested that a revised, updated membership card would be helpful (the
current one is dated 2019). The Committee would deal with this.
She reminded everyone that it was worth bearing in mind that both Yarnton Garden
Centre and A.K. Timms of Brize Norton both do discounts on products other than just
plants (eg compost, tools).


The Chairperson thanked all those attending and closed the meeting.
