MINUTES OF THE MOST RECENT ANUAL GENERAL MEETING:
Lower Windrush Garden Club Annual General Meeting 26th September 2023
Standlake Village Hall at 7:30pm
1. Welcome from Club President Club President Eva Rogers welcomed everyone to the meeting. She noted that the membership was almost up to 50 which was encouraging. She thanked everyone on the committee for their support in running the club and organising the meetings / speakers at the village hall and on zoom, the 3 shows, annual outing this year to Waterperry Gardens and the Christmas meal. Eva Rogers
2. Matters Arising
Paula detailed that in line with the club’s constitution we need a quorum of 25% of members present to hold the AGM. Our current
membership stands at 48 and so our 25% quorum of 12 members had been met.
Notice of the AGM was sent to all members on 8th August 2023 and copies of the AGM agenda, last year’s minutes of 27th September
2022 and the audited accounts had been sent out by e-mail to members on 18th September 2023. These minutes were agreed as a true
representation of the meeting by the members present.
There were no matters arising. Paula Gaffney
3. Chairperson’s report
Paula thanked the club President Eva Rogers, Vice President Bob Perry and all the Committee for all their help and invaluable support
keeping the club running during the year. She made a point of stressing that it was very much a team effort by all the valued members of
the committee. It had been a busy year again, with a mix of speakers, demonstrations, 3 shows, an outing and three Shows, plus an
excellent Christmas dinner in the Village Hall.
Membership has stayed stable this year at 48 and it was good to see some new faces in our membership.
Paula noted that along with everything else this year out costs in running the club have increased but under the watchful eye of our
treasurer, Lin Burton, we have managed to keep our expenditure under control. Paula Gaffney
4. Treasurer’s report
A copy of the audited accounts was provided to members via e-mail. Lin thanked David Jeffcoat for kindly auditing the accounts. The
Treasurer reported that costs have increased this year such as speaker's fees, hire of village and refreshments. However, the club still had
funds in hand to cover the increases and this was helped by the income from the May plant sale. Lin suggested that the membership
fees remain the same for the year ahead, at £20. Lin Burton
5. Events Secretary’s report
Paula hoped that everyone had enjoyed the range of speakers / events this year. The zoom meetings went well and she tried to get a mix
of speaker topics to suit a broad range of interests. The year started off with a talk about bats and moved onto learning how to love
weeds, finding out about remarkable vegetables, hydrangeas, what goes on at Chelsea and learnt about the Solanaceae family of plants.
There was also an Ikebana demonstration and the year ended with some hot tips for gardeners. Paula also wanted to particularly thank
Gillian Tarran for providing the refreshments at all our meetings and Jane Everex for organising all the raffle prizes at each meeting.
Paula thanked everyone who helped organise the Christmas meal in the village hall and the event was well attended and enjoyed by all.
The annual plant sale in May was well attended and Paula thanked everyone who was involved in the setup, bring plants and buying
plants.
In addition to the above it was noted that we had an interesting summer outing to Waterperry gardens, kindly organised by Mary Anne
Florey, and part subsidised by the club. Paula Gaffney
6. Show Secretary’s report
Emma reported that all 3 shows had been successful this year and the judges were impressed with the quality pf the entries.
The Spring show had an increase in entries, particularly in the club bulbs class. Entries for the Summer show were slightly down this year
but the quality of entries was high.
In the Annual Show (held in September) the total number of entries was slightly down on last year. Most of the children's classes have
been removed for the show as over previous years the entries have declined significantly. Emma noted that the show has got smaller
over the last few years and she would welcome some help with the organisation of the annual show.
Of particular note was the success of Denise Blackwell who was the overall winner of the Spring show and Summer shows. Emma Welch
7. Election of new committee
As required by our constitution all members of the committee were required to stand down. The President & Vice President would
remain. Paula offered an open invitation to the members to join the committee as new committee members were always welcome.
Lin Burton, Emma Welch, Linda Watson, Gillian Tarran, Jane Everex , Mary Anne Florey and Paula Gaffney kindly volunteered to stand
again. The meeting being fully quorate, it was proposed by Robert Florey that all those volunteering to stand again be re- elected. This
proposal was seconded by the members present. Paula Gaffney
8. Annual subscription 2023/24
It was proposed that the annual subscription for 2022/2023 remain at £20 per year per person. This was agreed. Members were reminded that next year’s membership subs would be due at the next LWGC meeting. Lin Burton/ Paula Gaffney
